An Indian AI Startup That Converts Every Meeting Into Real Work—Not Just Talk

How Acta.ai Is Turning Messy Meetings Into Measurable Outcomes for Modern Teams

How an India-Born AI Startup Is Turning Messy Meetings into Measurable Outcomes

Meetings are meant to move work forward — yet in most companies, they do the opposite. Long calls, scattered notes, forgotten follow-ups — hours get spent talking, but very little actually moves. It’s a quiet productivity drain every team recognises but few know how to fix.

For Sharma BKP, a former engineer at Wipro, Ericsson, and Cisco, this wasn’t a mild annoyance. It was a daily frustration that exposed a deeper flaw in modern work culture.

“Most of my corporate life was spent in back-to-back meetings,” Sharma recalls. “Capturing minutes manually was error-prone, repetitive, and exhausting. That experience pushed me to find a way to make meetings actually matter.”

That moment of reckoning led to Acta.ai, a Made-in-India AI platform designed to make meetings more productive, structured, and outcome-driven.

The name Acta — Latin for “official meeting records or minutes” — reflects its mission: transforming spoken discussions into documented, actionable intelligence.

Not Just Another Meeting Bot — A System That Understands Work

While global tools like Otter and Fireflies focused on transcription, Sharma noticed they fell short at the step that truly matters: execution.

“Most tools answer what was said. Acta.ai answers what needs to be done,” he explains.

At its core, Acta.ai uses persona-based AI agents trained for specific business functions — HR, Sales, Engineering, Support, Finance, and Project Management — each capable of producing domain-level outputs.

  • Sales Agent: Extracts opportunities, follow-ups, and insights based on MEDDPICC and SPIN frameworks.
  • HR Agent: Compiles candidate evaluations and generates data-backed hiring recommendations.
  • Ticketing Agent: Creates Jira issues automatically, complete with titles, priorities, dependencies, and deadlines.

This context-awareness converts raw dialogue into PRDs, deal pipelines, reports, sprint tasks, and trackers, pushing them directly into tools like Jira, Salesforce, Zoho, HubSpot, Notion, Slack, and Google Drive.

The experience is simple: sign in using Google or Microsoft, link the calendar, and Acta.ai’s agent joins every scheduled meeting automatically. Afterwards, users receive a concise summary, decisions made, and actionable tasks delivered to the tools they already use.

“Our goal wasn’t to build another assistant,” Sharma says. “We wanted an automation layer that fits naturally into how teams already work. Acta doesn’t just record — it collaborates.”

Building for the World — With Local Intelligence

As hybrid work becomes the global norm, teams everywhere are struggling with coordination and accountability. Meetings remain essential, but without automation, they quickly become time sinks.

Unlike many Western-built AI tools, Acta.ai is trained specifically for Indian work environments. It understands diverse accents, multilingual speech, and India-specific vocabulary — from sprint terminology to compliance jargon.

Its tech stack leverages NLP, machine learning, and automation frameworks built with Python, Django, Node.js, and React. Techniques like sentiment analysis, part-of-speech tagging, and intent detection allow it to interpret tone, urgency, and context.

“Our models are tuned to the way Indian teams actually talk and work,” Sharma explains. “That’s where imported tools often struggle.”

Security is another advantage. Acta.ai complies with SOC 2 Type II, GDPR, HIPAA, and ISO 27001, uses AES-256 encryption and TLS 1.3, and offers on-premise deployment for clients with strict data residency requirements.

“Privacy isn’t a feature,” Sharma emphasises. “It’s a foundation.”

Traction — 15,000+ Users in Six Months

Since launching its SaaS version, Acta.ai has grown to 15,000+ active users, spanning freelancers, startups, and large enterprises. Adoption has been organic, driven through India’s startup ecosystem and IT networks.

Regulated industries like BFSI and healthcare are also early adopters, attracted by Acta’s privacy-first architecture.

Pricing Model

Acta.ai offers three tiers:

  • Free Tier (₹0) — 15-day trial with unlimited recordings, transcriptions, and meeting duration
  • Pro Tier (₹888 per seat per month) — integrations, chat interface, domain agents, consolidation tools
  • Enterprise Tier (Custom) — on-premise, API support, white-labeling, advanced compliance

All tiers include unlimited recordings and transcriptions.

Preparing for Fundraising

Backed by angel investors, Acta.ai is now preparing for a growth round, focusing on scaling its enterprise presence and expanding into the US, Europe, and APAC markets.

“Our fundraising approach has been disciplined,” Sharma says. “We built product-market fit first, and now we’re ready to grow globally — responsibly.”

The Road Ahead — From Meeting Intelligence to Organisational Intelligence

Acta.ai’s next phase goes beyond meeting productivity. The team is working on analytics around:

  • Meeting efficiency
  • Team sentiment
  • Communication health
  • Collaboration patterns

These insights aim to help leaders understand not just what their teams say — but how effectively they work.

“AI should empower people, not replace them,” Sharma says. “By automating repetitive administrative work, Acta gives professionals more time for creativity, problem-solving, and strategy.”
